Privacy policy

This policy explains how we collect, use and protect personal information when you visit the Flock website, contact us, enquire about Flock or use our services.

Last updated: 28 September 2026

Introduction

Flock is operated by Flock Better Together Ltd, a company registered in England and Wales (company number 17337591).

We are committed to handling personal data responsibly and in line with applicable UK data protection law.

Flock Better Together Ltd

Website: flocktogether.club

For the purposes of UK data protection law, Flock Better Together Ltd is the data controller where we determine how and why personal data is processed.

What information we collect

The information we collect depends on how you interact with us. It may include:

  • your name, job title, organisation, telephone number and email address
  • information you provide when you contact us, make an enquiry or complete a website form
  • information about your pub, hospitality business, organisation, systems, suppliers or requirements
  • records of correspondence, meetings and our relationship with you
  • information about your communication and marketing preferences
  • technical information processed when you use the website, such as your IP address, browser, device and information about requests made to the website

We do not intentionally collect sensitive or special-category personal data through the public website. Please avoid providing this unless it is necessary.

How we use your information

We may use personal information to:

  • respond to enquiries
  • understand your organisation and what you may need from Flock
  • discuss, establish and manage relationships with publicans, hospitality businesses, pub companies, system providers, suppliers and other partners
  • provide and administer Flock services
  • communicate with you about Flock and relevant services where permitted by law
  • maintain, secure and improve our website and systems
  • manage our business, financial and administrative records
  • meet legal, regulatory and contractual obligations

We do not sell personal data.

Operational data and benchmarking

Some Flock services may involve a hospitality business choosing to provide operational data, for example information from tills, accounts, labour and rota systems, purchasing systems or suppliers.

Some of this information may be confidential business information rather than personal data. UK data protection law applies where information relates to an identifiable individual, but we aim to handle commercially sensitive operational data with similar care.

Where operational data is provided to Flock, we may use it to provide analysis, benchmarking, recommendations and other agreed services.

We aim to collect or access only the data reasonably needed for those purposes.

We may use aggregated or anonymised information to create benchmarks, identify patterns and improve Flock's services. Information used in this way should not identify an individual member or business.

We will not normally share data that identifies a particular member or business with another member, supplier, landlord or other third party without agreement from the relevant member. This does not prevent us using service providers who process information on our behalf or making a disclosure where required by law.

Where Flock provides a facility for a member to share information or dashboards with an adviser, landlord, supplier or another third party, that sharing will be at the member's direction.

More detailed terms may apply to operational data provided as part of a particular Flock service or membership arrangement.

Legal basis for processing

Depending on the circumstances, we process personal data because:

  • it is necessary to take steps at your request before entering into a contract or to perform a contract
  • we have a legitimate interest in responding to enquiries, developing and managing business relationships, providing our services and operating a secure and effective website
  • you have given consent, where consent is required
  • we need to comply with a legal obligation

Where consent is the basis for processing, you can withdraw that consent at any time.

Cookies and website services

We may use essential cookies, browser storage or similar technologies where needed to operate the website, remember choices or maintain security.

When you dismiss our cookie notice, we remember that choice in your browser for 180 days. Dismissing the notice does not enable tracking. Embedded services, including our Tally join form, may use their own cookies or browser storage.

At the date of this policy, the public Flock website does not use advertising or analytics cookies.

If we introduce non-essential cookies, analytics or similar technologies that require consent, we will provide an appropriate choice before using them and update this policy where necessary.

Our hosting, content-delivery and other technology providers may process technical information such as IP addresses and browser information where this is necessary to deliver and secure the website.

Data sharing

We may share personal data with trusted organisations that help us operate Flock, for example providers of:

  • website hosting and technology infrastructure
  • business software and communications
  • data storage and processing
  • accounting and professional services

These organisations may only use personal data for the relevant agreed purposes and must protect it appropriately.

We may also disclose information where required by law, to establish or defend legal rights, or in connection with a restructuring, investment or sale of all or part of our business where appropriate safeguards are in place.

We do not share personal data with third parties for them to sell unrelated products or services to you.

International transfers

Some service providers may process personal data outside the United Kingdom.

Where personal data is transferred internationally, we will use an appropriate safeguard where required by UK data protection law.

Data retention

We keep personal data only for as long as reasonably necessary for the purposes for which it was collected, including to maintain appropriate business records and meet legal, accounting and contractual requirements.

Retention periods may differ depending on the nature of the information and our relationship with you.

Where information has been effectively anonymised so that it no longer identifies an individual, we may retain and use it for analysis, benchmarking and service improvement.

Your rights

Under UK data protection law, you may have the right to:

  • ask for access to your personal data
  • ask us to correct inaccurate or incomplete information
  • ask us to delete personal data in some circumstances
  • object to or ask us to restrict processing
  • receive certain information in a portable format
  • withdraw consent where processing is based on consent

These rights are not absolute and exemptions may apply.

If you are unhappy with how we handle personal data, you also have the right to complain to the Information Commissioner's Office.

Data security

We use reasonable organisational and technical measures designed to protect personal data against loss, misuse, unauthorised access, alteration or disclosure.

Access to information is restricted to people and service providers who reasonably need it for their work.

No internet or data-storage system can be guaranteed to be completely secure, but we aim to use safeguards appropriate to the nature of the information we hold.

Changes to this policy

We may update this privacy policy from time to time as Flock's website, services and use of data develop.

Changes will be posted on this page and the date at the top will show when the policy was last updated.
